About Business line/Function:
The associate is responsible to manage the Learning management activities from an operations perspective for all employees in the organization & ensure that all the key & critical activities are closed on a timely basis to ensure a smooth process
Job and Person Specification:
End to End Administration support for Learning Management system, Formation of Training Calendar, Pre and Post Session logistics.
Manage daily BAU activities and complete the processing of activities as per agreed service level agreements:
Pre Program – Creation of Sessions / Events, Coordinating with vendors & participants for the session, Manage venue, Session type (virtual / classroom) & required logistics at respective site,
Post Program – Collection of Attendance, Feedback forms, Assessment sheets (if any), Recording attendance on Training tool, Collation of feedback and summarize feedback etc. Updating training records, Sending emails to managers of participants who did not attend the session.
Liaising with vendors – Program dates, discussions within the team, Follow up with vendors for program contracts and communication of logistical details (participant details, venue and room and any other relevant information)
Invoice processing – Track invoices, Coordination with Finance, processing of invoices as per relevant approvals, contracts, Charge back to respective business cost centers, Filing of invoice copies
Handle queries from employees
Reporting & MIS to be published for standard + adhoc requests received
Management of Learning Licenses (Plural Sight, Udemy and Coursera)
Mandatory Training Dashboard and Reporting
Manage expectations from business / stakeholders and work in close partnership within the teams to ensure customer delight.
Implement / follow the HRSS governance model to ensure regular updates provided to business owners / stakeholders.
Responsible of monthly, payroll cut-off
Partner during Audits, Statutory audits, Formulate and Implement Risk and Control measures for processes / BAUs managed.
Partner / Handle new projects within agreed timeframes in collaboration with stakeholders and adhering to regulatory compliance and controls.
Prepare Dashboards and KPIs showcasing health of the HRSS deliveries / processes centralized.
Understand HR tools and systems, Improve existing HR operations processes and create efficiency by automating manual processes.
Good communications skills and knowledge of MS Excel including Power BI.
Candidate Requirements for the role:
At least 5 years’ experience in managing Learning & Development Operations
Preferably having experience of working with MNC Banking Captive / Financial Services Institutions
Worked in HR Shared Services profile for large organizations.
Very good communication & presentation skills.
Knowledge of LMS tools, Excel / advance Excel and Analytics tool.
Confident & Mature
Ability to deal with pressure and complexities.
Preference – Experience in Team
Education Background: Graduate / Post Graduation in HR
Technical knowledge & Skills: MS Office
Knowledge of HR Tools prefer – Training admin tools, PeopleSoft etc.
Preferred Industry/domain experience :BPO/KPO service delivery function.
Behavioral Skills/Competencies:Agile, Strong communication, Multi-Tasking, Team player, Ability to deliver within timelines
