Beschrijving

The role

Responsible for the assisting the Building Manager in the delivery of an effective and compliant facilities management service through in-house staff, suppliers, and consultants, across hard and soft services in respect of a single building.


Responsibilities

    Undertake regular building inspections, complete reports and initiate/progress any required works. 

    Monitor Meridian/Vantify permits and compliance reminders

    Ensure compliance with all current statutory legislation in respect of health and safety and the environment

    Arrange compliance audits in a timely manner and be available to liaise for walk arounds and auditor inspections

    Liaise with BNPPRE consultants for audit visits

    Liaise with insurance inspectors for LOLER inspection

    Monitor audit documentation and actions raised in a timely manner 

    Complete administrative tasks as required to include use of systems, filing, inventory management

    Assist with invoicing and raising purchase orders ensuring that invoices are paid in a timely manner 

    Maintain office systems such as consumables, printing supplies, stationary, filing, etc.

    Diary management for team members including the arranging of internal and external meetings 

    Any other ad-hoc administrative duties as required by the team such as minute taking etc. and overall team support in everyday office duties

Qualifications/Key Skills

    Membership or Associate Membership of IWFM (Desired) 

    Managing Safely - accredited by IOSH or working towards 


Experience

    Previous experience in a similar role working on Meridian (Vantify) P2P/TRAMPS

    Understanding of service charge budgets and accounting principle

    Excellent English language skills – both written and spoken

    Must possess a composed manner in order to be able to work under pressure, managing and prioritising workloads.

    Ability to meet deadlines.

    Excellent planning, organisational and co-ordination skills.

    Accuracy and attention to detail.

    An understanding of confidentiality issues and the use of discretion.

    Must be a team player and be capable of building and maintaining good relationships with team members, other colleagues, clients and suppliers.

    Punctual and flexible in relation to working hours and duties
