About Business line/Function: 

The Global Markets Function at BNP Paribas facilitates Securities Services for Corporate and Institutional Clients. We provide Sales, Trading, Research and Strategy, FX Prime Brokerage, Local Markets coverage and Electronic Trading to a plethora of clients across the Americas, Asia Pacific and EMEA regions. We offer a global and cross-asset platform for securities financing through repo or prime services, for both listed and OTC clearing services and for execution of listed derivatives. We also provide our investors with access to commodities through various investment strategies and structured solutions.

 

Position Purpose

 

 The role will provide high-level administrative support to the COO, ensuring the effective management of day-to-day operations, strategic planning, and decision-making. The successful candidate will be responsible for planning, coordinating, and executing various tasks, projects , and initiatives, as well as maintaining confidentiality and handling sensitive information with discretion. 

 

Responsibilities

 

 Administrative Support : 

  • Manage the COO’s calendar, scheduling meetings, appointments, and travel arrangements 
  • Prepare and organize meeting agendas, take minutes and follow-up on action items. 
  • Handle correspondence and communication on behalf of the COO. 
  • Provide administration support to other team members are needed. 
  • Administration of Concur Travel Request & Online booking tool (OBT) and handling functional queries from employees. 
  • Administration of Expense Tool Management (CONCUR) for the COO. 
  • Corporate card administration and query management. 
  • Car hire booking for local and domestic travel of COO and Executive visitors through agency appointed for rent a car. 
  • Procurement of SIM card for corporate mobile connection 
  • Administration of office and printed stationery. 

 

Office / Facilities Management: 

  • Ensure efficient office operations including managing supplies and equipment. 
  • Oversee the maintenance and organization of office space. 
  • Monitor and manage office supplies inventory. 
  • Establish the Admin control plan 
  • Support the Premises Project Manager for corporate real estate project involving refurbishment/ modification/ alteration in existing BNPP premises. 
  • Liaise with different authorities for operational/ statutory license procurement and periodic renewal, coordinating with consultants wherever necessary. Manage fire, electrical, safety and security and other statutory periodic inspections in coordination with third-party provider. 
  • Maintain invoice tracker with Invoices received from vendor for services performed and validate Invoices for due diligence with necessary supporting documents. Submit the document for scanning and further validation and tracking of invoices to accounting system for timely payment. 

 

People & Property Security (PPS) 

  • Supervise the management and timely review of Security Agency arrangements with third-party provider. 
  • Ensure monitoring of fire detection & fire suppression system with third-party provider. 
  • Ensure monitoring of Electronic Access Control System and CCTV monitoring. 
  • Coordinate the annual evacuation drills and fire safety training to Fire Marshall’s. 
  • Implement all necessary process to ensure safety and security of the Facility, staff and assets of the company in all respects. 
  • Update and review Physical Security Policy & Procedure adhering to Group / Regional and Global Policy and implement. 
  • Conduct Philippines Physical Security Steer-Co Territory meeting. 

 

Procurement 

  • Provide support in establishing the demand planning mechanism to streamline sourcing activities. 
  • Facilitate relationship with category managers in the region, India CoE Procurement to align local practices with those that are established outside of the Philippines 
  • Ensure implementation of standardized and industry accepted procedures to select service providers. 
  • Ensure that standardized evaluation criteria are used in selecting service providers. 
  • Review the SOPs and controls of India CoE Procurement and provide recommendation based on local practices 
  • Act as liaison between India CoE Procurement and local service providers 

 

Communication: 

  • Serve as liaison between the COO and internal or external stakeholders. 
  • Prepare presentations, reports and briefing materials for meetings and engagements. 
  • Assist the COO & his team in planning daily & weekly activities. 
  • Assist in preparing presentations to various BNPP senior Management staff. 
  • Collate & present MIS on various teams for efficient decision making. 
  • Organize meetings internally with teams as well as with other areas of ISPL and BNPP as requested 
  • Manage the calendar of the COO. 
  • Update soft & hard copy files of important Projects 
  • Assist in recruitment meetings of candidates. 

 

Technical & Behavioral Competencies

  • Must have at least 20 years of experience in Business Management or Support with strong relative experience in Administrative functions. 
  • At least a bachelor's degree holder or must have an alternative working experience equivalent to educational requirement.
