Job Title: Assistant Manager – PMO
Department: ITG IT Transversal & Functions – Compliance IT
About Business line/Function:
ITG Transversal Functions, India is part of ISPL (India Service Private Limited) - services various business lines in BNP Paribas Group. This role is within the IT part of the India Group of BNP Paribas.
Position Purpose:
The role will report to the Business Management team and will be primarily responsible for implementation and ongoing governance of ITG IT TRANSVERSAL Compliance IT Team and associated PMO Activity in connection to Data Governance, Headcount and Financial Management and Stakeholder management across all teams of IT Compliance.
The position requires working in a virtual team and international environment and is multidisciplinary in nature. It involves coordination with other locations and divisions of BNP Paribas as necessary. It is important that the candidate should have strong financial knowledge along with high analytical skills and attention to details, agility and proactive approach toward the aligned responsibilities / task.
Reporting to: ISPL IT Ctrl Functions, Transversal Assets, APEX-ISPL – Business Manager.
Responsibilities –
Direct Responsibility
IT Budgeting, Cost Planning, Monitoring and Control
§ Collaborating with IT Delivery Leads, project managers and stakeholders to establish detailed project budgets, including resource allocation and cost estimation.
§ Tracking expenses against budgets, identifying variances, and taking corrective actions when necessary. This could involve regular budget reporting, forecasting, and analyzing financial data to ensure financial health.
§ Invoicing – Raise invoicing and tracking, raising timely alerts, identifying risk and mitigation actions. With updates to the governance and steering committee.
§ Managing the financial aspects of IT vendor relationships, including contract management, invoicing, and ensuring compliance with contractual obligations. Validate invoices with contracts and budget for payments.
IT Portfolio Management - Control, Reporting
§ Close follow up of IT Compliance team Project portfolio - Ensure clarity data management, IT Group Governance adherence by projects, control over key milestone & deliverables, follow up of Risk & Issues, Project & cost delays, IG recommendations
§ Build associated reporting - PPM reporting towards CIO review, Inputs to various governance follow ups, Formalize & raise alerts with recommended actions
§ Follow up with each project manager to ensure operational execution stays aligned to project plan & in respect of key delivery dates
§ BCP and BIA – Act as a referent for BIA, identify needs, consult SMEs and draft BCP as per org and group standards. Impact needs to monitored & alerted.
§ ITG v6 – Regular touchbase with Group & Central PMOs, identify updates to the Group framework and cascade to the impact to the management.
§ Regular meetings with Stakeholders (CIO, Domain Heads, PMO) giving them updates on project execution status on regular basis.
§ Play a referent role towards maintaining quality of golden source data across various group systems
§ Produce associated reporting & participate in regular meetings with stakeholders, follow action plans to enhance data quality.
§ Asist in preparations of minutes of meetings, specifically the Steering Committee, Monthly Governance committees which are conducted in English.
§ Assist in hiring activities and reporting the progress to the management. Onboarding support.
§ Draft and update the Standard operating procedures, secure approvals from management.
SLA Management
§ Produce and follow up SLAs between IT Compliance and its client entities.
§ Coordination with stakeholders from SLA proposal to final signature of SLA
§ Management of IT Service catalogue attributes
§ Production of KPIs as promised to clients in SLA
§ Onboarding of New Business and adherence to all the onboarding related procedure, along with the business manager.
Contributing Responsibilities

§ Effectively communicating the work status and delivery status.
§ Lead the creation and distribution of the departmental newsletter, showcasing the team’s achievements, initiatives, and key activities.
§ Adhere to timelines set for the delivery.

Technical & Behavioral Competencies
§ Good working knowledge of PMO / Business Operations / Governance Activity detail
§ SharePoint, MS Word, MS Visio, Power BI & PowerPoint
§ Able to work with large data in excel and suggest process enhancement ideas.
§ Knowledge of advanced formulas & pivot tables in excel is must.
§ Ability to adhere to confidentiality obligations. The employee must ensure that no confidential or secret information is disclosed, reproduced, or transmitted to unauthorized persons, both during and after employment.
§ Ability applying encryption, access control, and need to know principles as defined by the Group’s information security policies.
Specific Qualifications:
§ Minimum 5 – 7 years of experience along with bachelor’s degree - in management, finance, science, economics, related field or equivalent experience.
§ Prior experience in similar domain.
§ At least 5 years’ experience in project management. Mastery of project management methodologies such as PMI, PRINCE2, Agile, Scrum, or Lean Six Sigma is a plus.
Skills Referential (Required knowledge, skills and abilities)
Technical Skills:
§ In-depth knowledge of IT budget management
§ Ability to analyze and identify discrepancies in the financial reviews
§ Knowledge of finance tools and processes
§ Understanding of compliance and regulatory standards relevant to IT budget
§ Proficient in creating detailed documentation and developing robust budget management processes
§ Good exposure to IT Project Management Lifecycle
§ Good knowledge of MS Excel / MS Word / MS PowerPoint / PowerBI Dashboards
§ Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and complex formulas.
§ Exposure to management reporting
§ Clarity knowledge
§ Experience in managing SLA discussions with cross border stakeholders
