The role

Responsible for managing the delivery of an effective and compliant facilities management service through in-house staff, suppliers and consultants, primarily focussed on soft services and fabric works within a single complex building. 


Event management for The Garden at 120 and Reception space.


You will be working with an experienced General Manager, Technical Manager and Administrator in a beautiful estate office. No basement offices for the site team here!


Responsibilities

    Assist in the preparation of service charge budgets and provide strategy on how your departments will develop.

    Ensure all project works are completed within any service charge year

    Provide excellent customer service to internal and external customer base

    Manage site-based staff, creating a great working atmosphere ensuring all people related policies and procedures are followed

    Maintain regular and effective day to day communication with clients and tenants

    Undertake regular building inspections, and initiate/progress required works

    Develop and deliver all stakeholder ESG related strategies and projects

    Monitor, audit and inspect works conducted/service provided by suppliers

    Measure and report your supplier performance against agreed SLAs

    Manage suppliers to ensure effective, safe and compliant delivery of all soft services.

    Check and approve expenditure against service charge budgets

    Work effectively with a range of specialist consultants to deliver agreed outcomes

    Procure goods and services, following procedures and policies

    Ensure compliance with all current statutory legislation in respect of health and safety and the environment

    Maintain regular and effective communication with internal colleagues in Property Management, support functions and the wider Real Estate business

    Manage local environmental activities in order to meet statutory obligations and achieve/retain industry standards and work with sustainability team

    Ensure compliance with all internal procedures and policies – e.g. Procurement, Finance, Compliance, HR

    Ensure security and emergency procedures are robust and adhered to at all times, taking an active role in the event of emergency situations and communications with stakeholders


Person specification

Qualifications/Key Skills

    Membership or Associate Membership of IWFM or RICS

    National General Certificate in Occupational Safety and Health - accredited by NEBOSH 


Experience

    Previous experience in a similar role 

    Understanding of commercial leases and the landlord and tenant relationship

    Good understanding of service charge budgets and accounting principles 

    Leading in-house and supplier staff teams creating a great place to work

    Management of supplier relationships 

    Good health and safety and environmental knowledge 

    Excellent English language skills – both written and spoken

    IT literate – MS Office at intermediate level and other relevant software (e.g. Meridian, Proactis, Websters, Tramps) at a level to undertake the role satisfactorily 

    Experience of management within a single-site environment in excess of 100,000 square feet and/or service charge budgets in excess of £1m
