The position at a glance

The Executive Assistant provides high-level administrative support to senior regional leadership based in the US for both the CIB AMER ITO CIO and CTO, ensuring efficient operations and effective communication across the Americas platform. The role requires exceptional organizational, communication, and technical skills, and offers opportunities for collaboration, leadership, and professional growth.

 

In detail

 

Responsibilities

  • Provide high-level administrative support for both the CIB AMER ITO CIO and CTO and serve as the gatekeeper for internal and external stakeholders
  • Partner with their Business Managers and ITO AMER Chief of Staff
  • Heavy calendar management – complex agenda and setting of meetings across all time zones
  • Schedule and track meetings and support, including weekly Exco, recurring and ad hoc meetings and Board and Regulatory meetings
  • Coordinate Domestic and international travel arrangements; perform expense claims, expedited travel services
  • Coordinate webcasts, video and tele-conferences as needed
  • Preparation and coordination of departmental meetings and Town Halls
  • Plan and coordinate all logistics for internal/external events such as townhalls, teambuilding events, staff events on-site and off-site, internal workshop learning programs, external client meetings and all other ad-hoc event requirements
  • Arrange room bookings and catering for meetings
  • Managing agenda and logistics for visitors
  • Management of incoming and outgoing communications
  • Modification and distribution of reports, invoices and contracts; ensuring approvals and signatures are secured in a timely manner
  • Completion of any reasonable projects or tasks, as requested by AMER ITO CIO and CTO

 

Staff supervision/ Organizational Structure: The Staff will report locally to the Head of ITP Canada

 

Education: 

  • Bachelor’s degree or higher, with a strong understanding of principles and processes for providing customer and executive support services
  • 5-10 years of proven experience as an Executive Assistant, supporting Department Heads or C-level executives.
  • Professional working proficiency in both French and English is required *
  • Extremely competent in Word, PowerPoint, Excel, and Microsoft Outlook
  • Exhibit initiative and resourcefulness to get tasks done quickly and efficiently with a high degree of professionalism
  • Well organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people and programs
  • Knowledge of principles and processes for providing customer and personal services
  • Exceptional communication and interpersonal skills: active listener and clear communicator, both verbally and in writing
  • Must communicate proactively, anticipating the needs of managers and escalating issues as necessary – utilizing tact and strict confidentiality
  • Excellent team player. Ability to multitask and prioritize work based on potential impact
  • Detail-oriented, flexible, and enjoys the administrative challenges of supporting executive-level employees
  • Demonstrates an in-depth understanding of office and administrative management procedures and departmental and legal policies.


*Given most of our clients, both internal and external, are based outside of Quebec and Canada, specific language requirements may apply. Professional working proficiency in French and English languages are required.
