Job Title: Associate – Agency Settlements
Department: GMO - Processing & Support - Securities Settlement
About Business line/Function:
Securities Asia executes its clients’ orders through its own seats in SEHK. Upon execution of each order, a transaction contract is created between Securities Asia and the client. Sec ASIA BO is responsible for clearing and settling those trades executed via Sec ASIA and informing the relevant counterparties in case of disagreement.
Client Services is responsible for executing payments as per BNP transparency policy and checking depot and nostro reconciliation for Sec Asia entity
F&O – Sec ASIA as an executing broker, ensure that all Arbitrage F&O trade bookings are captured in Gloss with proper categorization of Market making and non-market making as to facilitate proper stamp duty payment.
HK Branch Custody services: HK Branch Custody BO is responsible for client’s holdings, corporate actions, valuations of securities and reconciliations on HK Branch’s cash accounts maintained with its custodians, performing cash projections and arranging fund movement.
Position Purpose:
- Manage instruction and settlement process for Equities.
- Monitor Client Money Segregation
- Projects and Process & control efficiency
- Manage Corporate Action business for Custody client
Responsibilities
Direct Responsibilities
1. Settlements
- Preparing Settlement Instructions for all Asia Equity Markets.
- Liaising with overseas brokers/custodians over trade-pre-matching issues.
- Communicating with clients and internal offices to ensure trades settlement operations are smooth and accurate.
- Updating static data information at back end related systems.
- Follow up outstanding trades and ensure correctness of the updated record.
- Conducting reconciliation and file fail settlement claims against clients and is also responsible for the updating and Maintenance of our internal claiming tool.
2. FnO
- Ensure collateral withdrawals and deposits are processed based on the margin requirements.
- Perform payments on pending and error trades for Sec Asia accounts.
- Perform trade feeds from Pael Gloss to Sec Asia Gloss for Arb trades.
- Follow up with outstanding Commission with MO/FO and paying agents.
3. Client Services
- Payment’s processing
- Bank reconciliation
- Posting journals for accounting
- Corporate action and Security pricing
4. HK Branch- Custody Services
-Cash corporate action entitlements paid on the securities held by the custodians on behalf of Hong Kong Branch, e.g. cash dividends, coupon payments and redemptions…etc.
-Cash paid for voluntary corporate actions, e.g. rights and warrants subscriptions.
-Cash paid and received when settling DVP transactions instructed by Hong Kong Branch.
-Custodians’ own charges, e.g. custody fees…etc.
-Statement generation for its own custody clients

- Escalation & Reporting process: Internal rules of reporting and escalation to Ops and FO need to be known & applied.
- Strong Client Focus: Capacity to work with various clients, especially FO. Need to be sensitive about the rationale of their requests and be proactive when replying to them. Work as partnership while consistently keeping an independent mindset.
Technical & Behavioral Competencies
- Bachelor’s or master’s Degree on Economics, Mathematics or Finance
- Good Equity knowledge (theoretical or professional)
- Knowledge on Pre-Matching and settlement of trades
- Good knowledge on Reuters / Bloomberg
- Excellent Microsoft and programming skills (VBA, Excel, Access)
- Analytical mindset: Aptitude to understand financial pricing is needed to be able to calculate simulations, forward impact and communicate the results with traders.
- Attention to detail: Ability to notice any abnormal processes as well as any unusual dividends or prices
- Innovation and initiatives (Think “outside the box”): Demonstrate willingness to constantly improve the status quo. Understand well the processes in place and evaluate if needed, alternative options to do things better with a cost - benefits / ROI approach.
- Self-discipline & autonomy: Have a constant “delivery on time” mindset, both on the daily production side (SLA on dividends updates or on CA instructions for instance) and on the projects handled. Ability to work on its own with little supervision.
- Adaptability & Change Management: Ability to easily adapt to new situations (new booking systems, new products, new activities to manage…) as this is a constant changing environment

Escalation & Reporting process: Internal rules of reporting and escalation to Ops and FO need to be known & applied. The team members also need to report any sensitive information/issues and escalate immediately to their management to allow proper time resolution.
Specific Qualifications:
• Minimum 5 years of experience along with bachelor’s degree - in management, finance, , economics, field or equivalent experience.
• Prior experience in similar domain.
