Management Support
Fund Administration Internship (H/F)

The Fund Administration has always been and will remain a key pillar of the Fund industry. It is fully integrated with multiple counterparties (inside and outside the bank): Transfer Agent, Depot bank, Custodian, Management Companies, Brokers, and Auditors…
WHAT’S YOUR DAY-TO-DAY MISSION?
Your missions will be mainly focused around the support on the Fund Administration daily managerial coordination process, and in particular:
- Assisting in the preparation & conception of management Support, such as dashboard, Process modelisation, KPI, …
- Engaging in different transversal projects - Project selection will be done in close cooperation with your manager and will depend on your skills and areas of competence.
- Assist with data entry and data analysis of various reports related to the department's operations and performance.
- Help in organizing and maintaining departmental files and records.
- Creating internal supports to help the department to improve its communication among the staff,
- Including maintaining “who’s who” documentation within the FA Department.
- Assist in the preparation of presentations and reports for the department's management team.
- Provide general administrative support, such as scheduling meetings, booking conference rooms, and preparing meeting materials.
- Conduct research on industry trends and best practices related to the department's operations.
- Assist in monitoring and managing the department's budget and expenses.
- Collaborate with other departments within the bank to gather information and data required for various reports and projects.
- Assist in the development and implementation of new policies and procedures.
- Help in drafting and editing departmental communication materials, such as quarterly All Staff
- Communication and emails.
- Assist with ad-hoc projects assigned by the management team.
- Creation and continuous updating of supports for new joiners within the department.
- Maintain a permanent contact with the group managers to ensure a good follow-up of projects
- Escalating structural issues discovered by the team to management in IOC to find a solution working together
Based on your personal interest and underlying projects, it might allow to participate in the daily Fund Accounting, Oversight, Financial Reporting, Client Account Management, Corporate Investment, Compliance production process, understanding different mechanisms, risks, and challenges, where applicable.

You will be working in a dynamic and fast-paced environment with a team of professionals in the Fund Administration Department.
- Job location: Luxembourg
- Description of the team the employee will be joining: You will be part of the FA Department, supporting the management to deal variety of teams and projects.
- Interactions outside the team: You will interact with other Business/Functions, including IOC operational teams, BI Lux, and management in Fund Administration Luxembourg and in IOC.
- Position eligible for teleworking and remote site: No
- Training plan: A comprehensive training plan will be provided to ensure your success in this role.
