Position Purpose
The HR Generalist is expected to perform all the administrative tasks related to HR functions, ensuring that all company guidelines and HR policies are applied to every HR process.
Responsibilities
HR – Onboarding
- Trigger the information collection to new hires and ensure employee information is correctly shared/uploaded in the system both by the respective employees and HRSS Team.
- Strictly adhere to confidentiality, compliance, and data security of BSPB when safekeeping and sharing personal information of candidates/employees.
- Ensure correctness of all the information encoded in Background Verification and Vigilance Check, and track the updates provided by the HRSS Team. Escalate to respective HR Manager if there are major alerts for prompt action.
- Timely enroll new hires in healthcare and life insurance benefits, and collect required documents, if necessary.
- Serve as one of the POCs to ISPL/India counterparties.
HR – Employee Relations
- Prepare official documents/letters such as Certificate of Employment, Resignation Acceptance, Invitation Letters, among others, and request for the signatory’s signature.
- Address minor employee concerns such as HR system concerns, benefits enrollment, among others and follow proper escalations, if necessary.
HR – Admin
- Review and prepare invoices related to HR, request for approval, and submit them to Finance for timely payment with no delay.
- Collaborating with external vendors, internal providers, and stakeholders related to HR activities.
- Monitor HR-related vendor contracts and ensure its timely renewal.
- Manage the new vendor’s engagement and enrollment in coordination with the Procurement Team.
- Inventory of HR supplies (Office Supplies, Welcome Gifts, ID cards, etc.)
- Assist in printing documents, specifically those which are considered confidential.
- Safekeep hardcopies of HR related documents.
- Add employees to distro - list for them to receive updates, notices, correspondence, among others.
- Prepare and arrange documents for notarization and shipment.
- Schedule liaison or directly coordinate with government offices such as DOLE, HDMF, SSS, PHIC, BIR, among others.
- Serve as POC for Short Term Assignments (STAs) and Local-to-Local (L2L) Staff for hotel booking and airport transfer arrangements.
HR – Mobility
- Connect with STAs/L2L Staff to obtain their personal documents such as copy of passport, preparation of invitation letters, gathering of information to be shared with in-house vendor and external visa processor, flight details to be shared to hotels, among others.
- Manage work permit and visa related documents for L2L staff’s and authorized signatories’ signatures, ensure all documents have the correct information and are properly signed.
- Connect with in-house and external vendors to ship/transmit the signed hardcopies/documents timely.
HR – Employee Engagement
- Creating employee engagement plans, getting quotations from vendors, and initiating small to medium activities.
HR – Payroll
- Be the primary backup for payroll processing, including semi-monthly updates to employee files, bonus/incentive pay, vacation/sick pay, expense reimbursements, hourly-employee validations, and benefits changes.
HR – Others
- Perform other ad-hoc activities and administrative/clerical tasks related to HR.
- Other HR Generalist task assigned by the line manager.
Technical and Behavioral Competencies required
- Excellent communication and interpersonal skills, ethics, and cultural awareness.
- Aptitude for problem-solving and knowledge of HR procedures and policies.
- Advanced knowledge of HRIS and ability to learn new technical systems, when necessary.
- Well-versed in MS Applications.
Experience and Qualifications required
- Bachelor’s degree (or equivalent) in human resources, business, or any related field.
- At least 5 years of overall work experience
- Proven success working in an HR department
- Resourceful mindset and strong attention to detail
- Knowledge of HRIS systems (Peoplesoft, PeopleDoc, etc.)
- Basic knowledge of national laws and regulations related to employment
