描述

The Facilities and Procurement Officer will have the following responsibilities:


  • Manages Account Payable (AP) process with high quality and timely manner via the Group applications.
  • Taking part of Procurement, Purchasing and Facility activities of the Branch (CIB/ITG).
  • Contributes to the overall efficient operation and image of the Bank by ensuring smooth and proper functioning of the respective sections within his/her scope.
  • In charge of local procedures, controls and reporting related to his/her scope.
  • Support committees respective to his/her scope () ensuring that related documentation is prepared and communicated to all stakeholders.
  • Makes sure all AP, facilities and procurement related (including FS, KYS, KYX) Group and CIB procedures are implementedrespected and followed

Accounts Payable

  • Performs and monitors accounts payable process via the Group applications 
  • Takes care of proper verification and approval of AP invoices and operational expenses.
  • Performs regular controls to ensure compliance with regulations, procedures 
  • Coordinates the AP process improvement efforts including regulatory and operating model changes.
  • Prepares necessary monitoring reports of expenses to support sourcing related actions 
  • Maintains contacts with suppliers, partners and related departments.
  • Supports mitigation and monitoring of financial and operational risk associated to his/her scope of activity.
  • Supports internal and external audit missions.

 

FacilitIES

  • Supports the monitoring, follow-up, renewal and overall management of contracts 
  • Support that the facility services and general working conditions are provided at an appropriate level.
  • Supports the physical inventory of furniture, artworks, non-IT equipment (tangible assets).
  • Contribute to the mutualization of facility management activities in Romania
  • Acts as a back-up for administrative aspects of business travels for the entity.

 

PROCUREMENT and PURCHASING

  • Supports the buyer in monitoring and analyses of expenses and monitoring the status of the contracts
  • Supports expense and investment budget preparation for Facilities and Procurement.
  • Supports the mutualization of procurement activities in Romania.
  • Taking part or even lead certain projects, sourcing activities (RfQ, RfI, RfP) concerning facility/procurement matters.

 


What qualities do we look for?


As a Facilities and Procurement Officer, we expect very good knowledge in the following areas:

  • University / College degree, preferably in economics or equivalent experience
  • Professional attitude, efficiency, and accuracy
  • Organizational skills and ability to prioritize tasks effectively
  • High level of integrity
  • MS Office (Excel, Power Point)
  • Fluent in English
  • Be able to provide updates to existing documentation and procedures
  • Very good communication skills and capacity to provide feedback
  • Teamwork – we work together and not as individuals
